Tuning Portal Payments: Gateways, VAT and an Invoice for Every Top-Up

September 30, 2026 4 min read 987 words

Tuning portal payments look simple from the outside: a customer buys credits, spends them on files, and the money arrives. Underneath sit the questions that decide whether you get paid on time and whether your accountant is happy at the end of the quarter. Which payment methods do your customers actually use? Does a payment become credit without anyone pressing a button? Is the right tax on the invoice for a customer in another country? This article works through those questions, using how the payments and invoicing side of TunerSuite answers each.

Take the payment methods your customers already use

Card payments are the default, but a file service with customers in several countries needs more than one route. TunerSuite takes Stripe for cards, Apple Pay and Google Pay, and PayPal, Square, Razorpay for India and Mercado Pago alongside it. Each runs on your own account with your own keys, so the money lands with you directly. There is no charge from us per file and no commission on what you sell.

In the UK, customers can spread the cost of a credit pack over monthly payments through consumer finance, and the credits arrive automatically once the application is accepted. Payments made by bank transfer or arranged offline can be recorded by hand. And if you would rather your customers carry the gateway’s processing fee, the portal can add it to the total, per gateway.

A payment should become credit on its own

The most common payment problem in a file portal is not a declined card. It is a card that was charged while the portal never heard about it, because the payment provider’s notification was pointing somewhere else. The customer has paid, their balance has not moved, and they message you angry.

In TunerSuite a completed card payment grants the credits by itself, and refunds and disputes raise an alert so you can respond in time. Once a day the portal asks your card provider whether its payment notifications point at this portal — the one setting that decides whether a payment ever becomes credit — and shows the answer in the payments settings. After you fix it, you can ask again straight away instead of waiting a day.

Prices that fit how you actually sell

Credit packs can carry a bonus, a struck-through old price or a discount. Customers can be placed on one of six pricing tiers, so a trade customer and a retail customer see different prices for the same work. Any modification’s price can be overridden per ECU, services ordered together can carry a bundle price, and a flat price per file is available for shops that prefer it. Heavier vehicles — trucks, tractors and machinery — can be priced apart from cars, and Express and Urgent carry their own prices.

Promo codes take a minimum and maximum spend, a limit per customer, a first-order-only rule and an email restriction. The code is checked again against the customer when the order is written, not only when it is typed into the form. If your market does not call them credits, rename them; and customers abroad can see an indicative price in their own currency while you continue to bill in yours.

The right tax on every invoice

A file service selling across borders meets different taxes with different names. TunerSuite ships with tax profiles for 25 countries and understands VAT, GST, IVA, MwSt and sales tax. A postcode can carry its own rate — the Canary Islands are the classic example, with a one-click preset. The invoice PDF leads with your brand and carries the fields German and EU invoicing rules require, with an India GST template where that applies.

What the software cannot do is decide your tax position for you. Whether a sale is reverse-charged or a customer counts as a business is your accountant’s call; the portal applies the rules you set, and can ask customers to confirm they are a business when they register.

An invoice for every top-up, and a way to check it all adds up

A numbered invoice is produced the moment a card top-up completes, at the price that customer actually pays on their tier, with a download on every row of their history. Issued invoices can be sent automatically to Lexware in Germany or to Holded in Spain; if you invoice from your own accounting software, the portal’s invoicing can be switched off.

To check the money, upload a statement from your payment provider and reconciliation sorts it against the credit ledger: matched, missing and mismatched. A chargeback deducts the credits automatically, freezes an account that falls below zero and tells you by Telegram and email. A customer’s credit history filters and exports to CSV when your accountant asks.

Setting it up in the right order

Most payment problems come from doing the setup in the wrong order. Put in your company details and invoice settings first, because every document the portal produces depends on them. Choose your country’s tax profile and any postcode rates next, and decide whether you want the portal to invoice at all or to hand that job to Lexware, Holded or your own accountant. Then connect the gateways you actually need, one at a time, and let the daily payment-notification check confirm each one is talking to this portal before a customer relies on it. Finally set your credit packs, tiers and promo codes, and buy a small pack yourself to see the whole path from payment to credit to invoice.

What it costs

All of this is part of the TunerSuite portal: a £699 setup, then £49.99 only in a month you deliver ten files or more, with no fee per file and no commission. The detail is on the pricing page. You can walk through buying credits as a customer on the live demo, and every gateway and tax option is listed on the payments page.
