Workshop Diary & Online Bookings
TunerSuite Feature · Workshop Diary & Bookings
The ramp, the phone and the website, one diary.
Customers book a slot on your website, your team takes the rest over the phone, and both land in the same diary inside your portal, with a calendar, a staff rota, holidays, a morning briefing and a one-tap WhatsApp confirmation. A £150 add-on per portal licence.
Online booking on your site, phone booking at the desk
A customer picks a day and a time on your website, or on a dealer's, and it arrives in the portal as a real booking you can confirm, complete or mark as a no-show. It carries the vehicle, the work asked for, how to reach the customer and which website it came from. Staff are told the moment one lands.
A phone booking goes through the same availability check, with a deliberate override for when you can see the ramp and know it fits. Type the first letters of a name or a phone number and a previous customer's phone, email, address, car and reg fill themselves in. The booking records the agreed price, how long the job needs and who took it.
- You decide the days and hours, the slot length, the notice you need, how far ahead it runs and how many cars fit in a slot
- The diary keeps its own opening times, separate from the hours you answer files in, or follows them, with one setting
- Online booking stays off until you turn it on; phone bookings work either way
- A day with no free slots says why: closed, too soon, too far ahead or simply full
A calendar, a staff rota and holidays that count themselves
The calendar shows the diary by month, week or day. Click a free slot and the booking form opens with that date and time filled in. Blocked-out time, a meeting, a closed day, a supplier visit, is striped so nobody books over it, and the booking widget on your website refuses those hours too.
The staff rota shows one week, everyone on the team, and what each day is: your own shift types, days away and holiday. A holiday on the rota comes off that person's allowance by itself, and the calendar shows who is in each day.
- Each booking belongs to a member of staff, their initials on the calendar, a filter for one person, bulk assign and close
- Leave used and remaining for every person, against the allowance you set; closed days are not counted
- Right-click a booking for call, WhatsApp, assign and status; keyboard shortcuts for the busy desk
- "Diary on your phone": a private calendar link for iPhone or Google Calendar, the whole diary, or only your own jobs
The Bookings page tells you what needs you
The next arrival with a live countdown, today's bookings as a strip, who is in today, and a "Needs you" list that only says true things: bookings waiting a day for a confirmation call, today's jobs nobody is assigned to, a job handed to someone who is off, a day with jobs and nobody on shift, a slot booked above capacity, a finished job never marked done. Each line links to where it is fixed.
Opening a booking puts everything a phone call needs on one page: call, WhatsApp and email buttons, the car and reg, the work and the exact figures the customer was quoted, their note, and the rest of that day's diary so you can offer another time while they are still on the line. It also shows what your portal already knows about that person, how often they have booked, whether they have missed appointments, whether it is the same car.
- WhatsApp and email messages written in your own words, from a template with placeholders, nothing sends until you press send
- A morning briefing to the whole team at the hour you choose; an empty day sends nothing
- The diary's own numbers: the week ahead, how full the next two weeks are, busiest days, kept, missed and cancelled
- Finished jobs download as a spreadsheet, ready for a mailing tool
An assistant that reads the same diary you do
On portals with the AI enabled, you can ask the assistant "who is coming in tomorrow?" or "when can we fit someone in?" and it answers from the real bookings, never inventing an appointment. "Prepare this call with AI" reads a booking and that customer's history and hands back talking points with ready-to-send WhatsApp and email drafts. The customer assistant can check real availability and book an appointment, confirming with the customer before it creates anything.
Sell the diary to your dealers, one by one
A master portal switches the diary on or off for each connected dealer. Until it is granted, a dealer portal shows no trace of it, no pages, no menu entry, and the booking widget declines politely. Once granted, it lights up within minutes. Who on each team may add or change bookings is a setting, so tuners can be kept to reading the diary.
